Privacy Policy

In short

MailCast is built so your email stays yours. We do not want your data, we do not store your data, and we do not look at your data. Almost everything in MailCast happens on your iOS device. The only parts that involve processing off device are: AI voices (which send the text being read aloud to OpenAI, only if you choose to use them) and the App Store (which Apple runs for subscriptions). We explain both clearly below. We take your privacy very seriously.

What we receive from you

Nothing. We do not store your data. We do not have an account system. We do not track you. We do not have analytics.

You install MailCast, you connect one or more email accounts on your device, and those connections are managed only on your device.

What is processed only on your iOS device

All of the following is processed only on your iOS device and is not sent to us:

  • Your email account credentials and tokens for each account you have added
  • The email addresses of your accounts
  • The email addresses in the From, To, Cc, and Bcc fields of your messages
  • The subject and body of your emails
  • Any list of contacts, senders, or recipients
  • Your settings and preferences

Note: when MailCast checks for new email, your device communicates with your email providers to download messages. This communication happens between your device and your email providers. We are not part of those connections and we do not see any of that data.

When MailCast summarizes your emails for reading aloud, that summarization happens on your iOS device. The summary is created on your device and is not sent to us.

When you reply to an email by voice, the dictation (turning your speech into text) also happens on your iOS device. Your voice and the transcribed text are not sent to us.

Your account credentials are stored in the iOS Keychain, which is encrypted by the operating system.

Two exceptions

There are two cases where data is sent to a party other than your email providers.

1. AI voices

If you choose to use AI voices for reading your emails aloud, the text that needs to be spoken is sent to OpenAI to be turned into audio. Depending on your settings, this text is either the body of your email (when summarization is off) or the on-device summary of it.

We never send the From, To, Cc, or Bcc fields. We never send the email addresses of your accounts. We never send your account information. Only the words that need to be spoken are sent.

Please note: if an email address is written inside the body of a message (for example, someone shares a contact in the text of their email), and that part of the body is being read aloud (either because the full body is read, or because the on-device summary contains that contact info), it will be part of the text sent to OpenAI.

OpenAI processes this text to generate audio and returns the audio to your device. OpenAI acts as a processor, handling this data on our behalf under our agreement with them. Once OpenAI has generated the audio, the text may be retained by OpenAI for a limited time for security and abuse-monitoring purposes before being deleted. The specific terms (including retention periods, training, and security commitments) are set by OpenAI and may change over time. You can read OpenAI's current policies for data sent through their API here:

  • OpenAI Enterprise Privacy

If you do not want any email content to be sent to OpenAI, select a built-in voice in settings. With a built-in voice, the text is not sent to OpenAI.

2. Sending feedback to us

If you contact us through the feedback option in the app, your message is sent by email. We will see the email address you sent it from and the content of your message. We use this only to reply to you and to run and improve MailCast. We do not add you to any mailing list and we do not share this with anyone else.

Data security

  • Account credentials and tokens are stored in the iOS Keychain.
  • Connections to your email providers use the encryption that each provider supports (typically TLS).
  • Connections to OpenAI for AI voices use HTTPS.
  • Because we do not have your data, the security of your iOS device (passcode, Face ID, Touch ID, iOS updates) is the main protection for the data on your device.

Data retention

  • Data on your iOS device stays there until you remove your email accounts in MailCast or delete the app.
  • Text sent to OpenAI for AI voices is processed by OpenAI to generate the audio response, and may be retained by OpenAI for a limited time for security and abuse-monitoring purposes before being deleted. The exact terms are set by OpenAI and can be found at the OpenAI Enterprise Privacy link above.
  • Feedback emails sent to us are kept in our inbox for as long as needed to support you and improve MailCast. You can ask us to delete them at any time.

In-app purchases

Subscriptions and purchases are handled by Apple through the App Store. We do not see your payment details, your Apple ID, or the email address associated with your Apple ID. Apple shares with us only the information needed to confirm that a purchase or subscription is valid (for example, an anonymous transaction identifier). Apple's privacy policy applies to these purchases:

  • Apple Privacy Policy

Crash reports and diagnostics

If you have enabled "Share with App Developers" in your iOS device settings, Apple may send us anonymous crash reports and performance data. These reports do not contain your emails, addresses, or contacts. You can turn this off at any time in Settings → Privacy & Security → Analytics & Improvements.

Your rights

Because we do not collect or store your personal data, there is nothing for us to give you, change, or delete. Your data lives on your iOS device, and you can remove it at any time by deleting the app or removing email accounts inside the app.

If you have sent us a feedback email and want us to delete it, contact us and we will remove it from our inbox.

This applies regardless of where you live, including under the EU General Data Protection Regulation (GDPR), the UK GDPR, and the California Consumer Privacy Act (CCPA). We do not have any personal data about you, other than the email you may have sent us through the feedback option. We cannot sell or share data we do not have, and we will never sell or share the feedback emails we receive.

If you live in the European Union, the United Kingdom, or another region with similar laws, you also have the right to lodge a complaint with your local data protection authority.

Legal basis for processing (GDPR)

For users in the EU and UK, the legal basis for the limited processing we do is:

  • AI voices — your consent. You enable AI voices yourself, and you can switch back to a built-in voice at any time.
  • Feedback emails — our legitimate interest in supporting and improving MailCast, and responding to your message.

International data transfers

If you use AI voices, the text to be spoken is sent to OpenAI, which processes data in the United States. By using AI voices, you understand that this data is processed outside your country under OpenAI's terms.

Third parties we use

  • OpenAI — acts as a processor for AI voices, processing the text to be read aloud on our behalf when you choose to use AI voices.
  • Apple — App Store distribution, in-app purchases, and the iOS platform.

We do not use any analytics frameworks, advertising frameworks, or tracking frameworks.

Changes to this policy

If we change this policy, we will update the date at the top. Material changes will be shown in the app before they take effect.
